About the Position:

Your responsibilities will involve being a reliable and innovative team member to help us manage the Executive Assistant and Office Manger functions of a fast-growing company in the Space industry. We are looking for an Executive Assistant/Office Manager to perform a variety of administrative tasks, support our company’s senior-level managers and be responsible for general office administration. Executive Assistant’s responsibilities include managing calendars, making travel arrangements, organizing meetings and events, and preparing expense reports. Voyager Space has grown significantly over the past year and has an ambitious acquisition strategy. To be successful in this role, you should be high energy, well-organized, flexible, have great time management skills and be able to act and think independently.

Responsibilities:

  • Heavy calendaring and travel booking/management for busy executives.
  • International travel planning and coordination.
  • Provides high-level administrative support and assistance to the leadership staff.
  • Active participation in office management, including handling general clerical tasks.
  • Maintain an accurate and organized digital library of company documents.
  • Pick-up / sort mail and accept deliveries.
  • Ensure meeting spaces are properly requisitioned ahead of schedule and prepped for
    meetings.
  • Greet guests/visitors.
  • Arranges travel and accommodations.
  • Expense report management.
  • Manage office equipment and supplies and ordering new equipment and supplies as
    needed.
  • Oversees the acquisition, distribution, and storage of company supplies and shared support
    services.
  • Identifies opportunities for cost savings in assigned areas; recommends and implements
    policy or process changes as needed.
  • Work collaboratively with team members to help solve clerical issues.
  • Provide assistance to accounting department to provide manage invoices, payments, and
    receipts.
  • Provide assistance in filtering and forwarding communications to proper individuals and
    departments.
  • Help organize small to large scale events and provide ongoing assistance during events.

 

Required Skills/Abilities:

  • Bachelor’s degree.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Business acumen and experience working with the C-Suite.
  • Flexibility, adaptable to change and a positive attitude.
  • Ability to function well in a high-paced and at times stressful environment.
  • Proficient with Microsoft Office Suite.
  • 5 + years of executive assistant experience. 5 + years of office support experience.
  • Experience with Concur a plus.

 

Experience:

  • Executive Assistant experience: 5 years (Required)
  • MS O365: 5 years (Required)
  • International travel booking and logistics experience (required)

Salary Range: $80,000 – $90,000 per year
